Tabitha F Hair INC ("TrichoEDU", "we," "us," or "our") provides TrichoMAP. TrichoMAP is operated on our behalf by Amaris Digital LLC. This policy explains what information we collect and how we use it — and it covers two different audiences, because two different kinds of people encounter TrichoMAP: people who hold a TrichoMAP account, and their clients, who never log in but whose information passes through the service. Part 1 below is for account holders; Part 2 is for their clients. Questions about this policy can be sent to info@trichoedu.com.
We collect the name, email address, and practice details you give us when you create and maintain your account. Billing is handled by Stripe through Clerk, our sign-in provider — we never see or store your card number. We also keep usage records: the evaluations you run, the credits you use each month, and the emails we send you. We use this information to provide TrichoMAP to you, to bill your subscription, and to support you if something goes wrong. We keep this information for as long as your account is open; what happens when you close it is described under "Retention and deletion" below. We also use PostHog to understand how account holders use TrichoMAP — which pages get visited and which features get used. It never receives your clients' information.
Your hair-and-scalp professional uses TrichoMAP to help prepare your evaluation. They enter information about your hair, scalp, health, and lifestyle — or ask you to fill some of it in yourself through a form they send you. TrichoMAP stores that information and uses AI assistance to help your professional draft their evaluation of you.
Your professional reviews everything before it reaches you — TrichoMAP never contacts you directly. We don't email you, message you, or send you anything; everything you receive comes from your professional, after they've read it over. Your information is stored securely in the European Union, and we never sell it to anyone.
Only your professional decides what information about you is collected and how it's used — TrichoMAP simply stores and helps process what they choose to enter. So if you have a question about your information, or want to ask for a copy of it or have it corrected or deleted, the fastest way is to ask your professional directly. A few outside companies help us run TrichoMAP. Each only sees what it needs to do its job:
We don't sell personal data, to anyone, ever. We don't use it for advertising. And TrichoMAP never emails or messages a professional's clients directly — every document a client receives is reviewed and sent by their own professional.
We keep account data and client records for as long as an account stays open. When an account holder closes their account, we delete their data within 90 days. Before closing, an account holder can export everything using the "download all my data" option on their account page.
Every account's data is kept isolated from every other account at the data layer, so one account can't see another's information. All traffic to and from TrichoMAP is encrypted in transit. Access to the underlying systems is limited to the operator. Files and stored data live on EU-hosted infrastructure. A document only ever leaves TrichoMAP after a human — the account holder — has reviewed it; nothing is sent automatically.
We may update this policy from time to time. If we make a material change, we will announce it by email to account holders with reasonable notice before the change takes effect. The effective date at the top of this page always reflects the version currently in force.
