Tabitha F Hair INC ("TrichoEDU", "we," "us," or "our"), a Minnesota company, provides TrichoMAP, a web application built for hair-and-scalp professionals to prepare client evaluations. These Terms of Service (these "Terms") govern your access to and use of TrichoMAP. By creating an account, you agree to these Terms, forming a binding agreement between you and TrichoEDU. The Data Processing Agreement at /legal/dpa forms part of these Terms and describes how client and practice data is handled. If you do not agree to these Terms, do not create an account or use TrichoMAP.
TrichoMAP helps qualified hair-and-scalp professionals prepare client evaluations from the information they gather — intake answers, notes, uploaded files, and their own observations. Each evaluation you run produces two documents: an internal summary, meant for your own records, and a client email, meant to be reviewed and then sent to your client. Both documents are drafted with AI assistance and are always presented to you for review before they can leave the system. Credits are the unit of use: each evaluation you run consumes one credit from your plan's monthly allowance, and your allowance resets each billing month.
TrichoMAP is a professional support tool, not a substitute for your own training and judgment. TrichoMAP does not provide medical advice, diagnosis, or treatment. Every document TrichoMAP produces is a draft. Nothing is sent to your clients by TrichoMAP, and nothing can be exported until you have reviewed and approved it. AI assistance is used to help prepare these drafts, and, like any AI-assisted draft, they may contain errors, omissions, or phrasing that does not reflect your clinical judgment. Using TrichoMAP does not delegate your professional judgment to the software: you are expected to read, correct, and stand behind anything you approve. You are solely responsible for the content of anything you approve, send, or share with a client.
You agree to provide accurate information when creating and maintaining your account, to keep your login credentials secure, and to notify us if you believe your account has been accessed without your permission. Accounts are for use by one practitioner each; you may not share a single account across multiple practitioners. You confirm that you are entitled to enter and process the client information you put into TrichoMAP, and that you are responsible for your own communications with your clients, including obtaining any consent your clients require before you collect or use their information in the service.
TrichoMAP is offered on a paid subscription basis. Your subscription price and the number of credits included in your monthly allowance are shown to you at checkout and on your account page. Payments are processed by Amaris Digital LLC on TrichoEDU's behalf; Amaris Digital LLC is the name that appears on your card statement. If you cancel your subscription, cancellation takes effect at the end of your current billing period, and you retain access through that period's end; we do not provide partial-month refunds for time remaining in a billing period.
If your subscription lapses — for example, because a payment fails and is not resolved — your account becomes read-only. You can still see and export everything already in your account, but you cannot create anything new: no new clients, evaluations, notes, or intake links. An intake link you already sent to a client before the lapse keeps working, so a client who is partway through filling one in is not cut off by a lapse that isn't theirs. Resubscribing restores full access immediately, with nothing lost while the account was read-only.
You agree not to use TrichoMAP for any unlawful purpose; not to enter client or other data into TrichoMAP that you do not have the right to collect, store, or process; not to attempt to access another user's account or data; not to resell, sublicense, or otherwise provide access to TrichoMAP to third parties; and not to use TrichoMAP, or anything TrichoMAP produces, to build or train a competing product or service.
TrichoEDU owns TrichoMAP and its underlying software, design, and content, apart from what you put into it. Your client records, intake answers, notes, uploads, and the documents you edit and approve are yours. We process this information only to provide the service to you, as described in our Privacy Policy and the Data Processing Agreement at /legal/dpa. If you send us feedback about TrichoMAP — bug reports, feature requests, or similar suggestions — we may use that feedback to improve the product without any obligation to you.
TrichoMAP is provided "as is" and "as available." We do not warrant that the service will be uninterrupted, error-free, or available at all times. AI-assisted drafts are not warranted to be accurate or complete — that is precisely why every document requires your review and approval before it can be exported or shared. To the fullest extent permitted by law, we disclaim all other warranties, express or implied, including any implied warranties of merchantability, fitness for a particular purpose, and non-infringement.
To the fullest extent permitted by law, TrichoEDU's aggregate liability arising out of or relating to these Terms or your use of TrichoMAP will not exceed the total fees you paid to TrichoEDU for TrichoMAP in the twelve months preceding the event giving rise to the claim. In no event will TrichoEDU be liable for any indirect, incidental, special, consequential, or punitive damages, including lost profits or lost data, even if advised of the possibility of such damages. Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited under applicable law.
Either you or TrichoEDU may end this agreement at any time; you may cancel your subscription as described in Section 5, and we may suspend or terminate your account for a material breach of these Terms. Before your account closes, you may export your data using the "download all my data" option on your account page. After closure, we retain and delete your data on the timeline described in our Privacy Policy.
We may update these Terms from time to time. If we make a material change, we will announce it by email to the address on your account with reasonable notice before the change takes effect. Your continued use of TrichoMAP after a change takes effect is your acceptance of the updated Terms. The effective date at the top of this page always reflects the version currently in force.
These Terms are governed by the laws of the State of Minnesota, without regard to its conflict-of-laws principles. Venue and dispute-resolution terms — including whether disputes are resolved through binding arbitration — are still under review with counsel and will be finalized before this document is treated as final.
